Simmies Golf Privacy Policy

Simmies Golf Co. respects your privacy. This Privacy Policy explains what information we collect when you use the Simmies app, website, or any Simmies Golf facility, how we use it, who we share it with, and the choices you have.

1. Information We Collect

A. Information you provide to us

  • Full name
  • Email address
  • Phone number
  • Emergency contact name and phone
  • Date of birth
  • ZIP code

B. Booking and facility usage information

  • Booking dates, times, durations, and bay assignments
  • Session entry and exit timestamps
  • App interactions, support taps, issue reports, and bay state changes
  • System access logs and security event logs

C. Payment information

Payments are processed by Stripe, Inc. Simmies does not store full card numbers or sensitive payment data. Stripe processes payment information under its own privacy policy.

D. Automatically collected information

  • IP address
  • Device type, operating system, and browser
  • Pages viewed, links clicked, and session duration
  • Cookies and similar tracking technologies
  • Approximate geographic location derived from IP

E. Security camera footage

Simmies facilities have security cameras in common areas. No cameras are installed in restrooms. Footage is retained for 30-90 days unless required longer for an active investigation, insurance claim, or legal matter. See the Release & Waiver of Liability.

F. Electronic signatures

When you accept agreements, Simmies logs acceptance date, time, IP address, and account identifier. Simmies does not collect biometric signatures, fingerprints, voiceprints, or other biometric identifiers.

2. How We Use Information

  • Create and manage accounts
  • Process bookings, payments, refunds, and cancellations
  • Authorize and monitor facility access
  • Send transactional communications
  • Provide customer support
  • Investigate safety incidents, equipment damage, rules violations, and disputes
  • Improve the app, website, and facility operations
  • Detect and prevent fraud, abuse, unauthorized access, and credential sharing
  • Comply with legal, insurance, regulatory, and safety obligations
  • Send marketing communications only if you have opted in

3. How We Share Information

We do not sell your personal information. We share information only as needed with:

  • Stripe for payment processing
  • Kisi or a successor smart-lock vendor for facility access
  • Supabase for cloud database and authentication infrastructure
  • Resend for transactional email delivery
  • PostHog for product analytics where approved
  • Sentry for application error monitoring where approved
  • Vercel for application and website hosting
  • Insurance providers, legal authorities, and future business acquirers where required or appropriate

4. Data Retention

  • Active account data: for the account duration, plus up to 12 months after closure
  • Transaction and financial records: 7 years
  • Booking and access logs: 3 years
  • Security camera footage: 30-90 days unless required longer
  • Electronic signature acceptance records: account duration plus 7 years
  • Marketing data: until you opt out or request deletion

5. Cookies and Tracking Technologies

Simmies uses cookies and similar technologies to maintain sessions, remember preferences, analyze usage, detect technical issues, and measure communications. Browser settings may disable cookies, but some features may not function without them.

6. Your Privacy Rights

Illinois residents may request knowledge, correction, deletion, portability, and marketing opt-out. California and other state rights may also apply. Send requests to privacy@simmiesgolf.com with your account email and a description of your request.

7. Account Deletion

  1. Email privacy@simmiesgolf.com from the address on your account.
  2. We will confirm receipt within 5 business days and process deletion within 30 days.
  3. Some information may be retained for legal, insurance, or safety reasons.
  4. Deleting the app does not delete your account.

8. Children's Privacy

Simmies services are not intended for children under 13, and account creation requires age 18 or older. Minors aged 13-17 may be present only as guests of an adult account holder who accepts responsibility under the Release & Waiver of Liability.

9. Data Security

Simmies uses commercially reasonable safeguards including HTTPS/TLS, Stripe payment encryption, Supabase row-level security, limited administrative access, and logging/monitoring. No system is perfectly secure.

10. International Users

Simmies operates in the United States. If you access Simmies from outside the U.S., your information is transferred to and processed in the U.S.

11. Changes to This Privacy Policy

Material changes will be posted on the Privacy page and active account holders will be notified by email.
